What we collect when you write to us, why, and how to ask us to change or delete it.

Who we are
This website is run by Outback & Reef. We are the data controller for the personal details described on this page.
Address: Work Club, Barrack Place, 151 Clarence Street, Sydney NSW 2000, Australia
Email: outbackandreef@tourground.com
What we collect
We only collect what you choose to send us:
- When you send an enquiry: your name, email address and, if you give them, where you will fly from, how many are travelling, your dates, the regions and journeys you are interested in and your message.
- When you email us: your email address and whatever you write.
The enquiry form opens your own email app with the enquiry written out, so it reaches us as an ordinary email that you send. The season planner keeps your choices in the page address only, so you can share them; nothing is sent to us.
We do not ask for special categories of data through the website. If you tell us about health, mobility or dietary needs so that we can plan around them, we use that information only for your trip.
Why we use it, and on what basis
- To answer your enquiry and prepare a proposal: this is a step you ask us to take before any contract (legitimate interest and pre-contractual steps).
- To arrange and run a trip you book: performance of our contract with you.
- To keep records required by law, such as accounting records: legal obligation.
Who we share it with
We never sell your details or use them for advertising. We share them only with:
- the hotels, lodges, drivers, guides, airlines and other suppliers needed to arrange a trip you have asked for, and only what each of them needs;
- the service providers that run this website and our email, who process data on our instructions: our website hosting provider and our email provider;
- authorities, where the law requires it.
Some of these providers and suppliers are outside your country, including in Australia. Where data leaves the UK or the European Economic Area, we rely on the safeguards the law provides, such as adequacy decisions or standard contractual clauses.
How long we keep it
Enquiries that do not lead to a booking are deleted within two years of our last contact. Booking records are kept for as long as tax and accounting law requires, usually six years.
Your rights
You can ask us for a copy of the personal details we hold about you, and ask us to correct them, delete them, restrict how we use them or send them to you in a portable format. You can object to our use of them and withdraw consent at any time. Write to outbackandreef@tourground.com; we reply within one month.
If you are unhappy with how we have handled your details, you can complain to the data protection authority in the country where you live. We would be grateful for the chance to put things right first.
Security
The website is served only over an encrypted connection. Access to your enquiry is limited to the people who plan your trip.
Cookies
This site sets no cookies and uses no analytics or advertising trackers. See our cookie policy for the details.
Changes to this policy
If we change this policy, we will update the date at the top of this page. Significant changes will be announced on this page before they take effect.
